How to Request Videos Through ThankView
You can use the ThankView platform to request that faculty, students, and staff record video messages for you to send to donors and prospects. The advantage of this is you don’t need to create a virtual place on UVaBox or OneDrive to store and retrieve those videos, you can set deadlines, and you can include instructions, tips, and notes to those recording videos for you to send to prospects and donors. Checking for ThankViews Sent in the Past 8 Weeks
Prior to sending a ThankView, use the filters in Evertrue to check that your intended recipients have not received a ThankView message in the past eight weeks. If they have, delay sending your ThankView until eight weeks have passed since they received their last ThankView from UVA. Below are instructions for checking ThankView sends in Evertrue against your recipient list. Filter for Interaction Type = ThankView and Interaction Date = 8 weeks from your targeted send date. Export your results. Add your exported and downloaded CSV file to a tab in the Excel/CSV file that has your ThankView recipient list. Be sure the format of your ID numbers in both tabs match. Evertrue exports ID numbers without the leading zeros. If your recipient list uses a 10 digit ID format (see the Excel: how to add leading zeros job aid). In your recipient list tab, add a column and apply a formula to that column to note who to exclude from your list. ThankView Housekeeping Tips
ThankView can be like the fridge in a communal kitchen. To stay nice, everyone has to work together to keep it organized and clean it out from time to time. You can use naming conventions to find your campaigns and use the folders in the Video Library to store content you or your team would like to reuse. Please consider archiving your campaigns and deleting lists and videos when they are no longer needed. Naming Conventions Consistent naming makes it easy for you, or someone on your team to quickly, retrieve your ThankView campaigns. It also helps the BI Analytics team use the results from your campaigns in future engagement metrics. The recommended naming convention is “Program/Unit – Campaign Purpose – Recipient List Description” (e.g., “Darden - North Grounds Challenge - 2020 EMBA”). A similar convention is recommended for videos (e.g., A&S – Holiday Greetings). Saving Videos in Folders After you create your video, go to the Video Details screen to move your video into a folder. Click “Create a Folder” on the Video Library menu if you need a folder created for your program or unit. Click the folder for your program/unit to retrieve the videos stored there. Archiving Campaigns Once your ThankView is delivered, you can archive or delete your Campaign. Please archive any Campaign you want to reuse or have included in the ThankView metrics. Deleted Campaigns are not included in the metrics and will be permanently removed from ThankView after 30 days. Both Archived and Deleted Campaigns can be restored by clicking one of the options on the Campaign Select menu. You can view the Campaign status by selecting Active, Archived, or Deleted from the menu at the top of the Your Campaigns page. See ThankView FAQs for additional tips on using ThankView.
